Logging staff time off

How to record sick leave, vacation and other time off on a staff profile, what Pending and Approved mean, and when the calendar stops offering that person.

Time off is the record of days a staff member will not be working: holidays, sick days, unpaid leave. Keeping it in StyleDesk means the whole team can see who is away, and approved time off keeps that person off the booking calendar.

Log time off

  1. Go to Staff and open the staff member.
  2. Choose the Time Off tab and click Log Time Off. The Request Time Off window opens.
  3. Pick the Start Date and End Date. Both are whole days; for a single day, use the same date twice.
  4. Choose the Leave Type: Sick Leave, Vacation, Unpaid Leave or Other.
  5. Add Notes if they help, such as "sister's wedding" or "doctor's note received".
  6. Click Submit Request.

The only thing refused is an end date before the start date. Owners and managers can log time off.

The Time Off History table

Every entry appears on the Time Off tab with its Type, Dates and Status, newest first. The number next to the tab name tells you how many entries there are.

StatusWhat it means
PendingRecorded, not yet approved. Every new entry starts here.
ApprovedConfirmed. The calendar keeps the person off bookings on those days.
RejectedTurned down. It stays on record but has no effect.

The effect on the calendar

  • Only approved time off changes bookings. On each day it covers, the person is not offered for any new booking, whatever their weekly hours say.
  • A pending entry does not block anything. The calendar still offers that person on those days.
  • Time off never moves or cancels bookings that already exist. When you log it, look at the calendar for those days and move any clients already booked with that person. See rescheduling and cancelling.

Approving time off

On the Time Off tab, every Pending entry has Approve and Reject buttons for owners and managers. Once you approve it, the calendar stops offering the person on those days. A rejected entry stays on the profile as Rejected and has no effect on bookings.

Approving does not move bookings already made for those days. Check the calendar straight after approving and move those clients to someone else (see rescheduling and cancelling).

Tip. Log time off as soon as it is agreed, not on the day. It gives the front desk time to move clients and keeps the team's absences in one place.
