Rescheduling, cancelling and marking no-shows

What each appointment status means, how a visit moves from Scheduled to Completed, and how to reschedule, cancel or record a no-show.

Every booking has a status, and the buttons in its Appointment Details panel change with it. Recording what really happened, rather than leaving bookings untouched, is what makes your appointments report and no-show figures worth reading.

What each status means

StatusMeaning
ScheduledBooked, but not yet confirmed with the client. Bookings from your website arrive like this.
ConfirmedThe client has confirmed they are coming.
Checked InThe client has arrived and is waiting.
In ProgressThe service has started.
CompletedThe visit is finished and billed.
CancelledThe booking was called off. The stylist's time is free again.
No ShowThe client did not come. The stylist's time is free again.

The normal flow

Scheduled → Confirmed → Checked In → In Progress → Completed.

  • Confirm Appointment appears on a Scheduled booking whose date has not passed.
  • Check In Customer appears on a Confirmed booking on its day. A Scheduled client can also be checked in directly from the Working Queue; see the Working Queue.
  • Start Service appears once the client is checked in.
  • Checkout to POS appears while the service is in progress. The booking becomes Completed when the bill is completed; see checkout.

Check-in, starting and completing only work on the booking's own date: you cannot check in tomorrow's client today. Completed, Cancelled and No Show are final and cannot be undone, so if you cancel by mistake, book the client again.

Reschedule

Use it when the client wants another time or stylist. It is offered while a booking is Scheduled, Confirmed or Checked In.

  1. Open the booking and click Reschedule.
  2. In Reschedule Appointment, set the new Date and Start Time.
  3. Under Service Line Items, each service shows its length and a staff list of everyone who does it. Keep the stylist or pick another.
  4. Click Confirm Reschedule.

StyleDesk checks that the stylist works at the branch, is working and not on time off at the new time, and is free; if not, it says the stylist is not available and nothing changes. You cannot move a booking into the past. The price stays as it was quoted.

A booking that was Confirmed or Checked In goes back to Scheduled when you move it, because the client has not yet agreed to the new time. Confirm it again once they have. To change the service or customer as well, use Edit details before confirming.

Cancel

  1. Open the booking and click Cancel.
  2. Answer the question Are you sure you want to cancel this appointment?

Cancel is offered while a booking is Scheduled, Confirmed or Checked In. The booking is recorded as cancelled by the customer, every service on it is cancelled, and the time is free for another booking. It stays on the calendar in the Cancelled colour.

No Show

Use No Show for a Scheduled or Confirmed client who never arrived, from the booking panel or from the Action Required section of the Working Queue, and confirm. Once a client is checked in they have arrived, so StyleDesk refuses No Show; use Cancel if they leave before the service.

Owners, managers and receptionists can do all of this. For habits that cut missed appointments, see how to reduce no-shows.

Tip. Mark no-shows the same day. A booking left as Scheduled looks like a client who might still come, and the appointments report can only count the no-shows you record.
