Checking attendance exceptions and approving timesheets

How owners and managers spot late arrivals, absences and missed clock-outs, correct a timesheet, and approve finished shifts.

Clocking in is the staff's job; checking the record is yours. Two pages under Attendance in the sidebar do it: Exceptions shows what needs attention today, and Pending Approvals is where you confirm finished shifts. Both are for owners and managers, on the Pro and Business plans.

Exceptions: today at a glance

The Exceptions Dashboard gives one card per staff member who is scheduled today or has clocked in, with counters at the top.

StatusMeans
Forgot CheckoutTheir shift yesterday was closed automatically because they did not clock out, and they have not clocked in today.
LateThey clocked in after the start time in their weekly hours. The card says by how many minutes.
AbsentThey are scheduled today but have not clocked in yet. This includes people whose shift has not started.
WorkingClocked in and on the floor.
On BreakOn their break, with how long it has lasted.
CompletedShift finished today, with the hours worked.

The most urgent cards come first. Use Branch, Staff and Status, then Apply Filters, to narrow the list. All clear means nothing matches. Managers see the staff of their own branch; owners see every branch.

Late and Absent depend on each person's weekly hours, so keep them up to date. See setting staff working hours.

Pending Approvals: confirming finished shifts

Every finished shift waits here as Pending Approval. The table shows Employee, Branch, Date, the clock-in and clock-out times, Working Hours in minutes and Status. A Forgot Checkout badge marks a shift closed automatically.

Filter by Employee, Status (Pending or Approved), and a Start Date and End Date together, then click Filter. Managers see their own branch only.

Approve a shift

  1. Check the times look right.
  2. Click Approve and confirm. The status changes to Approved.

StyleDesk refuses to approve a shift with a missing clock-in or clock-out, or a break that was started but never ended. Correct it first.

Changed your mind?

On an approved shift, click Unapprove and confirm. It goes back to Pending and can be corrected again. There is no reject button: a shift with wrong times is corrected, not thrown away.

Correct a timesheet

  1. Click Correct on a pending shift. The Correct Timesheet window shows the original times next to boxes for the new ones.
  2. Set New Clock In (required) and, as needed, New Clock Out, New Break Start and New Break End.
  3. Write a Reason for Correction of at least 10 characters, such as "Forgot to clock out, left at 7 PM".
  4. Click Save Correction. The working minutes are recalculated.
  • Times must be in order: clock-in, break start, break end, clock-out.
  • An approved shift cannot be corrected; unapprove it first.
  • Every correction is kept in the audit trail with your name, the old and new times and your reason.
Tip. Look at Exceptions each morning and approve the week's shifts on a fixed day, such as every Monday. Small problems are easy to fix while everyone still remembers the day.
