Logins and roles: who can do what
How to give a staff member a StyleDesk login, what the Owner, Manager, Receptionist, Stylist and Cashier roles can each do, how to change a role, and how to reset a password.
Adding a staff member puts them on the calendar. Giving them a login lets them sign in to the portal and the StyleDesk app, and their role decides what they can see and do once they are in. Every salon starts with five roles; most salons never need more.
The five roles
| Role | Can | Cannot |
|---|---|---|
| Owner | Everything, including pay, refunds, settings, billing and adding other owners. | Be removed if they are the last owner. |
| Manager | Run the salon day to day: bookings, customers, staff and their hours, attendance, checkout and payments, stock, reports, loyalty adjustments. | See or set pay, refund or void a sale, change the service menu or business settings. |
| Receptionist | The front desk: the whole calendar, bookings and walk-ins, customers, checkout and taking payments. | Delete customers, see pay, refund, change staff or settings. |
| Stylist | See their own appointments, performance, attendance and time off. | See other people's bookings, take payments, edit customers. |
| Cashier | Checkout: take payments and view sales. | Refund or void, change bookings or customers. |
Give someone a login
- Open the staff member on Staff and click the ⋯ menu next to Edit Profile, then Grant Portal Access.
- Check the email (it is their username) and pick a Role. Managers can hand out every role except Owner.
- Click Grant access. A temporary password is shown once. Give it to them straight away; they are asked to choose their own password the first time they sign in.
Change someone's role
On the same menu, Change Role shows their current role; pick the new one and Save role. A person has one role in your salon at a time, and the change applies the next time they load a page. Only an owner can make or unmake another owner, and the last owner can never be demoted.
Forgotten password
Owners and managers can use Reset Password on the same menu: type a new one (or generate one), optionally force a change at next login, and pass it on.
When someone leaves
Mark the staff member terminated on their profile (Edit Profile → Status). Their login is switched off the same moment, their history stays, and the seat is freed. If they come back, set them active again and the login works again.
