Ringing up a sale on the Manual POS Terminal

How to bill a client without an appointment: find the customer, add services and staff, and send the bill to checkout from the Manual POS Terminal.

Most bills start from the calendar: you press Checkout to POS on a finished appointment and the services are already on it (see checkout). The Manual POS Terminal is for the rest: a service that was never booked, or a client you need to bill without an appointment. You build the bill yourself, line by line.

Open the terminal

  1. Click Point of Sale in the sidebar. The Invoices & POS page opens.
  2. Click Manual POS Terminal at the top right.

Owners, managers, receptionists and cashiers can use it.

Find the customer

Every bill belongs to a customer, so start with the Customer box.

  • Type at least two characters of a name, phone number or customer code (such as CUST-00012). Matches appear as you type, each with its phone, code and email, so two people with the same name are easy to tell apart.
  • Spaces, dashes, a + and a leading 0 or 92 are ignored in phone numbers, so 0300 1234567 and +92 300 1234567 find the same person. The closest match is at the top.
  • Click a name, or use the arrow keys and Enter. The small cross clears the choice.

The terminal cannot create a customer. If the client is new, add them on Customers with Add Customer first (see adding customers), then come back. Archived customers do not appear in the search.

Add the lines

  1. Check the Branch. Choose the branch you are working in: payment can only be taken for bills of the branch selected at the top of the portal.
  2. Click + Add Item. Choose the Service and the Staff member who did it, and change Qty if needed. Price fills itself in from your menu and cannot be typed over.
  3. Add as many lines as you need. The bin icon removes a line. Cart Summary shows the Total Due.
  4. Click Generate Invoice & Checkout. The button stays greyed out until a customer is chosen and there is at least one line, and every line needs both a service and a staff member.

The bill is created and the checkout screen opens. From here it works like any other bill: check the Amount the client is paying, choose the method, press Process Payment, then Complete & View Receipt.

Why the checkout total can differ

The cart shows menu prices. When the bill is created, StyleDesk prices each line the same way it prices a booking, so the total on the checkout screen can be different:

  • a staff member's own price for that service, if one is set for them, replaces the menu price;
  • the customer's special price or discount is applied (see special prices for a customer);
  • a running promotion is applied if it gives the client a better deal (see promotions).

Any discount shows on the bill, so the client can see it.

Things to know

  • Services only. Each line is a service from your menu and the person who did it. Products cannot be added on the terminal.
  • Check before you generate. Once the bill is created, its lines cannot be changed in the portal. A wrong bill stays in the invoice list as unpaid.
  • Pick the right person. The staff list shows everyone active, not only the people who do that service. On the Pro and Business plans, commission goes to whoever is on the line.
  • Nothing goes on the calendar. A terminal bill is not an appointment: it does not block anyone's time and does not appear in the customer's appointment history.
Tip. If the client is staying for a service now, book it on the calendar instead (see walk-ins). The stylist's time is blocked, the visit shows in the client's history, and checkout starts with the service already on the bill.
