Finding a bill: the Invoices list and invoice page

How to find any bill in StyleDesk, what Draft, Finalized, Partial and Refunded mean, and what the invoice page shows and lets you do.

Every bill StyleDesk makes, from a checkout or from the Manual POS Terminal, is kept as an invoice. The Invoices & POS page is where you find one again: to take the rest of a payment, reprint a receipt or issue a refund.

Open the list

Click Point of Sale in the sidebar. Owners, managers, receptionists and cashiers can see it. The newest bills are at the top, and each row shows:

  • Invoice / Date: the invoice number (INV- followed by six letters and numbers) and the day the bill was created.
  • Customer and Branch.
  • Amount: the bill total after discounts.
  • Status: the payment status, explained below.
  • Manage: opens the invoice.

The list follows the branch selected at the top of the portal. Choose all branches to see every bill (see switching branch).

Find a bill

  • Search invoice #: type all or part of the invoice number printed on the receipt. The search looks at invoice numbers only, not customer names.
  • All Status: narrow the list to Draft, Finalized or Void bills.
  • All Payments: narrow it to Unpaid, Partial, Paid, Partially Refunded or Refunded.

The search and both filters work together. Partial on its own is the quickest way to see every client who still owes you money.

What the statuses mean

A bill has two statuses. The first says whether the bill is still open:

StatusMeaning
DraftStill open. It becomes Finalized when someone presses Complete & View Receipt, which is offered once the balance is zero.
FinalizedClosed. The stylist's commission and any stock used are recorded at this point.
VoidCancelled. A void bill cannot take payments.

The second, in the Status column, says how much has been paid:

Payment statusMeaning
UnpaidNothing taken yet.
PartialPart of the bill is paid; a balance is still due.
PaidPaid in full.
Partially RefundedPaid, then part of the money was refunded.
RefundedAll the money taken has been refunded.

The invoice page

Click Manage. The header shows the invoice number, the customer, the date and time and the payment status, with two buttons:

  • Reprint Receipt opens the receipt in a new tab (see receipts).
  • Pay Balance appears while money is still owed. It takes you back to the checkout screen for this bill (see partial and split payments).

Below the header:

  • Line Items: each service with the staff member, quantity, price and line total.
  • Payment History: every payment with its method, date and time. Refunds are listed here too, as negative amounts. Next to each payment that can still be refunded there is a Refund button for the owner (see refunds).
  • Summary: Subtotal, Discount, Tax, Total, Paid and Balance Due.
Tip. A bill that shows Paid but is still Draft was never completed, so its commission and stock use have not been recorded. Make Complete & View Receipt the last thing you press on every bill.
