Taking a partial or split payment
How to split a bill between cash and card, take a part payment and leave a balance, and collect the rest later, using the highlighted amount box.
Not every client pays the whole bill in one go. Some pay part in cash and part by card; some pay a deposit today and the rest next week. StyleDesk handles both on the same checkout screen, as long as you enter each amount as it is actually paid.
The highlighted amount box
On the checkout screen, Remaining Balance shows what is still owed. Under it is a large amber box, Amount the client is paying. It is already filled in with the whole remaining balance and selected, so whatever you type replaces it.
- If the client pays the whole balance one way, check the figure and leave it.
- If they pay less, type what they are paying now.
- You cannot enter more than the remaining balance. When a client hands over a large note, enter the amount of the bill, not the note: this screen does not work out change.
The box is loud on purpose. Because it starts at the full balance, pressing the button without looking records a full payment that never happened.
Split a payment across methods
- Type the first part, for example Rs 3,000, choose Cash and press Process Payment.
- The page refreshes. The payment appears under Payment History and Remaining Balance drops to what is left.
- The box now holds the new balance. Choose Card or Gift Card and press Process Payment again.
- When the balance reaches zero the screen shows Fully Paid. Press Complete & View Receipt.
There is no limit on the number of parts. Each is its own payment on the bill, with its own method and time, so your cash and card totals stay right.
Take a part payment and leave a balance
- Type the amount the client is paying today, choose the method and press Process Payment.
- The bill's status changes to Partial. You can leave the screen; the rest stays on the bill as outstanding.
While a balance is owed:
- The bill cannot be completed. Complete & View Receipt only appears once it is fully paid, and the stylist's commission is recorded then.
- The appointment stays In Progress on the calendar. It is marked completed automatically when the bill is paid in full.
- You can still give the client a receipt: open the bill and use Reprint Receipt. It lists what was paid and the Balance Due.
Collect the rest later
- Go to Point of Sale and set the payments filter to Partial (see finding a bill).
- Click Manage on the client's bill, then Pay Balance.
- The checkout screen opens with the outstanding amount in the box. Take the payment as above, and press Complete & View Receipt once it is fully paid.
On the day of the appointment you can also press Checkout to POS on it again from the calendar. It opens the same bill, not a new one.
Owners, managers, receptionists and cashiers can take payments.
Loyalty points and part payments
If your salon runs loyalty points, the client earns points on each payment as it is taken, so a bill paid in three parts earns the same as one paid at once. To pay part of the bill with points, redeem them in the Loyalty Rewards box before you take the money (see redeeming points). If points cover the whole bill, the screen goes straight to Fully Paid.
