Adding customers
How to add clients to StyleDesk one at a time or from an Excel list, what the phone number is used for, and how walk-ins become customers automatically.
Every booking belongs to a customer, and the customer record is what makes reminders, loyalty points, visit history and birthday messages possible. You do not need to type your whole client book in before you start, but the sooner it is in, the more StyleDesk can do.
Bring your client list from Excel
- Go to Customers and click Import from Excel.
- Download the template and fill one client per row. Only First Name is required, but add the Phone whenever you have it: it is how StyleDesk recognises the same person next time and how reminders reach them.
- Format the Phone column as Text in Excel so the leading 0 is kept (03001234567, not 3001234567).
- Email, Gender, Date of Birth (for birthday messages), Preferred Branch, Tags (VIP, bridal, regular…) and Notes are optional. Tags you have not used before are created for you.
- Upload, click Check file, read the preview, then Import now.
Rows are matched to existing customers by phone or email, so uploading the list again updates people rather than duplicating them.
Add one customer
- On Customers click Add Customer.
- First name, last name, phone, email and gender. Use Notes for allergies and preferences, such as "sensitive scalp" or "always wants the same stylist"; the front desk sees it on every visit.
- Save. The customer's page opens, with their bookings, bills and loyalty balance as they build up.
Walk-ins
You do not have to add a customer before booking them. In the booking window choose New Walk-In, type a name (and a phone if you have one), and the customer record is created with the booking. Next time, they will be in the search.
Finding someone fast
The search box on Customers matches name, phone and email as you type. At the front desk, the last four digits of a phone number is usually the quickest way.
