Checkout: taking payment for a visit
How to bill a client in StyleDesk: open the bill from the appointment, check the lines, enter the amount the client pays, split or partial payments, loyalty points, and the receipt.
Checkout turns a finished appointment into a paid bill. The services are already on it; the receptionist's job is to check the lines, take the money and hand over the receipt.
Open the bill
- On the calendar, click the appointment (it must be In Progress) and press Checkout to POS. The bill opens with every service from the visit as a line, priced as quoted when it was booked.
- A running promotion or the customer's own special price is applied to the lines automatically; the discount shows on the bill. Lines cannot be added or removed here: an extra service that was never booked goes on its own bill from the Manual POS Terminal (Point of Sale → Terminal), which takes services only. Retail products are not sold from the portal.
Take the payment
- The Amount the client is paying box is highlighted and already selected with the full balance. If the client pays everything, leave it. If they pay part now, type what they hand over; the rest stays on the bill as outstanding.
- Choose Cash, Card or Gift Card and press Process Payment. For a split payment (some cash, some card) just do it twice: the balance box shows what is left each time.
- When the balance reaches zero the bill shows Fully Paid and the appointment is marked completed. Then press Complete & View Receipt: that closes the bill and records the stylist's commission, so never skip it.
Loyalty points
If the client has points, the bill shows their balance and what it is worth. Enter how many to redeem and press Apply; the balance drops before you take payment. Points for this visit are added as each payment is taken. See redeeming points.
Receipt
The receipt opens on screen: print it from the browser, or it prints on a connected receipt printer through the print agent. The tax registration and branch details on it come from Business Settings → Receipt Profile and the branch. See receipts.
Refunds and mistakes
A bill's lines cannot be edited once it is made, so check them before taking money. A payment that was already taken can only be refunded by someone with the refund permission (the owner by default): open the bill from Point of Sale → Invoices and press Issue Refund on the payment. The stylist's commission is not changed by a refund. See refunds.
