Finding your way around the appointments calendar

How to read the Appointments page: Timeline and Agenda views, changing the date and branch, staff columns, status colours and the Today's Capacity figure.

The Appointments page is the front desk's view of the day: who is booked, with whom, and how full the day is. You can see it as a grid with one column per staff member, or as a simple list. Knowing both saves a lot of scrolling.

Opening the calendar

Click Appointments in the sidebar. Owners, managers and receptionists see the whole salon's book here. Stylists do not see this page; they see their own bookings in the StyleDesk app (see the staff app).

The calendar opens on today, for the branch you are working in. To look at another branch, change it in the branch switcher at the top of the screen (see switching branch). All Branches shows the staff of every branch side by side.

Timeline view

This is the view the page opens in.

  • Columns are staff members at the branch, headed with their first name and initial. Hover over a name to see it in full.
  • Rows are hours, from the branch's opening time to its closing time that day. In All Branches the day runs from the earliest opening to the latest closing. If the branch is closed that day you see Branch Closed instead of the grid.
  • Bookings are coloured blocks showing the client's first name and the service. Each block starts at the booked time and is as tall as the service is long, so a two-hour colour fills two rows.
  • The header stays put. The row of staff names stays pinned at the top as you scroll down the day, and the time column stays on the left as you scroll across a large team, so you always know whose column and which hour you are looking at.

Click an empty slot (it shows + Book when you hover) to start a booking with that staff member, date and hour already filled in; see booking an appointment. Click a booking to open its Appointment Details panel, where all the buttons for that visit live.

Agenda view

Click Switch to Agenda at the top of the page. The same day appears as a list in time order: start time, client's full name, staff, services and a status badge. Click any row to open its details. Switch to Timeline takes you back. Agenda is the easier view on a phone. When you reload the page it opens in Timeline again.

Looking at another day

Use the date box on the left of the filter bar. Pick a date and the calendar reloads for that day, in whichever view you are in. The Working Queue on the right always shows today; see the Working Queue.

Status colours

The legend above the calendar lists every status with its colour, so you can tell at a glance who is confirmed, who is in the chair and who has gone. What each status means, and how a booking moves from one to the next, is explained in rescheduling, cancelling and no-shows.

Today's Capacity

The box on the right of the filter bar shows Today's Capacity as a percentage booked, with a bar. It compares the number of bookings today with eight hours for every staff member at the branch, counting each booking as one hour whatever its length, and cancelled bookings count too. Treat it as a rough sense of how busy the day is rather than an exact figure. It stays on today when you change the date.

Tip. Cancelled and no-show bookings stay on the calendar in their own colour so you can see what happened, but they no longer hold the stylist's time. You can book someone else into that slot.
