Editing a booking before it is confirmed
How to change the customer, date, time, service, stylist or notes on a booking with Edit details, and why it is no longer offered once the booking is confirmed.
Bookings change. The client meant Thursday, wants a different stylist, or rang on behalf of her sister. While a booking is still Scheduled (not yet confirmed), you can change almost everything about it in one window instead of cancelling and starting again.
Edit a booking
- On Appointments, click the booking to open its Appointment Details panel.
- Click Edit details (customer, services, time). The button is there only while the booking is Scheduled and its date has not passed.
- The Edit appointment window opens with the booking's reference at the top. Change what you need:
- Customer: search by name or phone and pick someone else.
- Date and Start time.
- Services: for each service on the booking, choose a different Service and Staff member. When you change the service, date or time, the staff list refreshes to show only people who do that service and are free then.
- Notes: anything the stylist should know.
- Click Save changes. The calendar and the Working Queue update straight away.
What is checked when you save
- The stylist must work at the booking's branch, do that service, be working at that time, not be on approved time off, and not be booked with someone else.
- The new time cannot be in the past.
- A service you change is offered only if it is active and available at that branch.
If anything fails, nothing is saved and the message tells you what to fix, for example that a stylist is not available at the requested time.
Prices when you change a service
Changing a service re-quotes it at today's price for that stylist and client, exactly as a new booking would be, so a running promotion or the client's special price applies. Services you leave unchanged keep the price they were booked at.
What Edit cannot do
- Add or remove a service. Book the extra service as its own booking, or cancel the one that is no longer wanted.
- Change the branch. Cancel and book again at the other branch.
Once the booking is confirmed
As soon as you press Confirm Appointment, Edit details disappears. If you try it anyway, StyleDesk says: Only appointments that are not yet confirmed can be edited. Use Reschedule to move a confirmed appointment.
- To move a confirmed booking to another time or stylist, use Reschedule; see rescheduling, cancelling and no-shows.
- To change the service or the customer on a confirmed booking, cancel it and make a new one; see booking an appointment.
Owners, managers and receptionists can edit bookings.
