Booking an appointment
How to book a client in StyleDesk from the calendar: existing customer or walk-in, service, staff who are free at that time, and what happens from Scheduled to Checkout.
The calendar is the front desk's home page: one column per stylist, the day down the side, a staff name header that stays put as you scroll. A booking is one window and five fields.
Make the booking
- Open Appointments. To start from a time, click the empty slot under the stylist; the date, time and stylist are filled in for you. Or click New Walk-In at the top.
- Customer. Choose Existing Customer and search by name or phone, or New Walk-In and type a first name (the phone is optional, but add it so reminders reach them). A walk-in becomes a customer record automatically.
- Branch, Date and Start Time.
- Service. Start typing in the filter box above the list ("col", "mani", or a category such as "nails") and the list narrows; if one service is left it is picked for you.
- Staff. The list shows only people who do that service and are free at that time, so a double booking cannot happen here. Add a note if the client asked for something particular.
- Click Confirm Booking. It appears on the calendar immediately, as Scheduled.
From Scheduled to the chair
Click any booking to open its panel. The buttons follow the client's visit:
- Confirm Appointment: the client has confirmed (by phone, WhatsApp or SMS). Until this point you can still Edit details: customer, time, service and stylist in one go.
- Check In Customer when they arrive, Start Service when they sit down. The Working Queue on the right shows who is waiting and who is being served.
- Checkout to POS when the service is done: it opens the bill with the services already on it. See checkout.
- Reschedule moves it to another time or stylist; No Show and Cancel record what happened, which the appointments report uses later.
Several services in one visit
Book each service as its own booking, one after the other: the second starts when the first ends, and each keeps its own stylist, so a cut by one person and colour by another sit back to back on the calendar. At checkout, each is billed when its appointment is done.
Bookings from your website
If your booking website add-on is on, clients choose a service, stylist and time themselves and the booking lands on the same calendar as Scheduled, for the front desk to confirm.
