The customer profile: history, loyalty and notes

What the customer page in StyleDesk shows: visits, spend, no-shows, appointment history, loyalty points, special prices and notes, and how to edit details.

Every customer has a profile page that brings together what you know about them: how often they come, what they spend, their loyalty points, any special prices and the notes your team has left. It is the page to open before a client sits down.

Open a profile

On Customers, click the customer's name or View (see finding a customer). Owners, managers, receptionists and cashiers can open profiles; stylists cannot.

The header

At the top are the name, phone number and email. On a phone or tablet, tap the number to call. The buttons are:

Underneath are Gender, Status and Customer Since, the day they were added.

The numbers

  • Lifetime Value: what they have paid you in total.
  • Total Visits: completed appointments.
  • Upcoming: bookings that are scheduled or confirmed.
  • No Shows: bookings they missed. A high number is your cue to ask for a deposit next time.
  • Outstanding: money still owed, in red when there is any. For the bills behind it, use the Partial filter on Point of Sale (see partial and split payments).

The tabs

Appointment History

Every booking, most recent first, with its booking code and branch, the services and who did them, the status, the price and the date. Click one to open the appointment itself. Bills made on the Manual POS Terminal are not appointments, so they are not listed here; find them under Point of Sale (see finding a bill).

Loyalty & Rewards

On plans with loyalty (Pro and Business) this tab shows the Current Balance in points, the Current Tier, Lifetime Earned and Lifetime Redeemed/Clawback: points spent, and points taken back after refunds. Tier Progress shows how much more they need to spend to reach the next tier. Recent Transactions lists the last ten point movements, and View Full History shows them all. Owners and managers can correct a balance with Adjust Balance (see adjusting points).

Special Pricing

Fixed prices and discounts for this one customer. See special prices for a customer.

Notes

Allergies, preferences and anything else the team should know, newest first, each with who wrote it and when.

Edit details and add notes

  1. Click Edit Profile. The Edit Customer window opens.
  2. Change First name, Last name, Phone, Email or Gender. First name and phone are required, and no two customers can share a phone number or an email.
  3. To add a note, type it in Notes. The box always starts empty: what you type is added as a new note, and earlier notes stay as they are.
  4. Click Save Customer. The window closes; reload the page to see the change.

Owners, managers and receptionists can edit customers. A saved note cannot be edited or deleted, so keep notes factual and polite. Date of birth, preferred branch and tags are not on this form: set them with the Excel import, which updates existing customers matched by phone or email (see adding customers).

Tip. Write notes for the next person, not for yourself: "allergic to PPD, patch test before colour" helps a new receptionist; "same as last time" does not.
