Using the StyleDesk app at work

How staff sign in to the StyleDesk app, what stylists, front-desk staff and cashiers see, and how to clock in and out from your phone.

The StyleDesk app puts your working day on your phone. It runs on Android and iPhone and uses your web portal login. What you see depends on what your role allows.

  1. Under Sign in to your staff account, type your Email and Password.
  2. Tap Sign in. If either is wrong you see Invalid email or password.

The app does not ask you to replace a temporary password, so if you were given one, first sign in to the web portal and choose your own (see signing in and passwords). You stay signed in between shifts; after a week without opening the app you sign in again.

What you see

Your roleThe app opens on
StylistYour own day: attendance, appointments, earnings and schedule
ReceptionistA menu down the left: Bookings, Walk-ins, Checkout, Clients, More
CashierThe Checkout screen
Owner or managerThe owner dashboard (see the app for owners and managers)

Stylists: your day

Under today's date and your name you see three sections. Pull down to refresh.

  • My appointments today: time, client, services and status of each booking. It is for reading only.
  • My earnings: commission, revenue, sales and appointments done over the last 30 days (Pro or Business plan). Commission is as recorded at each sale, not your payroll total.
  • My schedule: your hours for each weekday, or Off.

If you see Your account isn't linked to a staff profile yet, ask your manager to link your login to your staff record.

Clock in and out

  1. Find the Attendance card. Stylists have it at the top of their day. Cashiers tap the clock icon at the top of the screen. Everyone else opens More and taps Clock in / out & history.
  2. Tap Clock in. The card shows Working, the time you clocked in and how long you have worked so far.
  3. At the end of your shift, tap Clock out and confirm. The app shows how long you worked.

Time is recorded at your main branch. The history (View history on a stylist's day) shows the last 7 days, 14 days or 30 days, with hours worked and days present. Auto-closed — clock-out was forgotten marks a session you did not clock out of. Attendance needs the Pro or Business plan. See attendance.

Front desk

These screens are laid out for a tablet.

  • Bookings: a timetable with a column per stylist, or Week. Tap an appointment for buttons such as Check in, Start service, Checkout, No-show or Cancel, and the reschedule icon. New booking steps through Client, Services, Stylist & slot and Confirm.
  • Walk-ins: Add walk-in takes a Customer name and Phone, then Add to queue. Use Assign stylist and Start; the walk-in moves onto the timetable.
  • Checkout: Checkout on an in-progress appointment opens its bill. Use Add item for extras, tap Finalize, pick a Payment method, check Amount to collect and tap Collect payment. For cash, Amount tendered shows the change. To split a bill, collect part, then the rest by another method.
  • Clients: search, open a client for points, visits and notes, or tap Add client.

Cashiers

Open sales lists bills waiting for payment; tap one to take payment. Bills are started from an appointment or in the portal, not here.

Receipts

When a bill is fully paid, StyleDesk sends the receipt to the branch's default printer through the print PC; the phone never talks to the printer. The Sale complete card shows the result, such as Receipt printed, and Reprint receipt prints another copy. Printing needs the Pro or Business plan and a printer set up in the portal (see printers).

More

More (the three dots for stylists and cashiers) has your account, Change password (at least 12 characters), Appearance (Light, Dark or System), help and legal links, and Sign out.

Tip. If you see Clock in and out are not available right now., ask your manager to check that your staff record is active and its main branch is open.
