Redeeming loyalty points at checkout
How the front desk takes a client's loyalty points off their bill at checkout, the limits that apply, and what happens to points when a payment is refunded.
When a client has points, the checkout screen shows them beside the bill with what they are worth. Using them takes a few seconds and lowers the bill before the client pays the rest. Anyone who can work the till can do it: owners, managers, receptionists and cashiers.
Find the Loyalty Rewards box
Open the bill as usual (see checkout). On the right, above the Remaining Balance, is the Loyalty Rewards box. It shows the client's Available Points and their Estimated Value in rupees.
The Redeem Points field only appears while the client has points and the bill still has something left to pay.
Use the points
- Ask the client how many points they want to use. Estimated Value tells you what the whole balance is worth.
- Type the number of points in Redeem Points and press Apply.
- The bill refreshes. The value of the points is added to the Discount line, and the Grand Total and Remaining Balance drop to match. The points leave the client's balance straight away.
- Take payment for the rest in the Amount the client is paying box as normal.
Apply points before you take any money. The payment box is pre-filled with the balance, so redeeming first means the amount you confirm is already the right one. Once the bill is closed with Complete & View Receipt, points can no longer be used on it.
When StyleDesk says no
A message explains the problem and nothing is taken off. The usual reasons:
- The number is below your salon's Min Redemption.
- The client is asking for more points than they have.
- The points are worth more than the Max Discount % allows on this bill, or more than the bill itself.
- The loyalty programme is switched off in Business Settings.
- The bill has been voided or refunded.
An example: each point is worth Rs 1, Max Discount is 50%, and the bill is Rs 3,000. A client with 2,000 points can use up to 1,500 of them today; the other 500 stay on their balance for next time.
Points earned on this visit
The client earns new points on what they pay in money, as each payment is taken. The part of the bill paid with points earns nothing. You do not need to do anything for this to happen.
Refunds and mistakes
There is no undo button for a redemption. If points were used by mistake, or a bill paid partly with points is refunded, the used points are not given back automatically. A refund only takes back, in proportion, the points the refunded payment had earned. To return points to a client, an owner or manager adds them by hand: see adding or removing points by hand.
