Correcting stock: damaged, expired and counted
How to record damaged or expired products, stock used in the salon, and corrections after a stock count, so StyleDesk matches your shelves.
Stock changes for reasons that are not a sale or a delivery: a bottle is dropped, a tube passes its date, colour is used up on clients, or a count shows the system is wrong. A stock adjustment records the change, the reason and who made it, so the figures match what is actually on the shelf.
Make an adjustment
- Open Inventory in the sidebar and press Stock Adjustment at the top of the dashboard. The Adjust Stock Level form opens.
- Choose the Product (shown with its SKU) and the Branch. If a branch is selected at the top of the page, only that branch is offered; to adjust another branch, switch to it first (see switching branch).
- Choose the Adjustment Type (see below).
- Enter the Quantity Change: the number of units to add or take off, not the new total. Use a minus sign to take stock off, for example -2.
- Add a few words in Notes / Reason, such as "Dropped at front desk" or "Monthly count".
- Press Confirm Adjustment.
Adjustment types
| Type | Use it for | Quantity |
|---|---|---|
| Damaged | Broken, spilt or spoilt products | Negative, e.g. -1 |
| Expired | Products past their date | Negative |
| Manual Decrease | Any other stock leaving the shelf, such as products used up in services | Negative |
| Manual Increase | Stock found or added without a purchase order | Positive, e.g. 5 |
| Audit Correction | Putting the figure right after a stock count | Positive or negative, not 0 |
A quantity with the wrong sign for its type (a positive number for Damaged, say) is refused and the stock does not change.
Products used in services
There is no separate type for professional products used on clients, such as colour, developer or treatment masks. Record them as Manual Decrease and say so in the notes, for example "Used in services, week 2". Doing it weekly per branch keeps the work small.
After a stock count
Count the shelf, compare with Current Stock on the product's Stock Overview tab, and enter the difference as an Audit Correction. If StyleDesk says 10 and you count 8, enter -2; if you count 12, enter 2.
Check it worked
Open the product and look at its Stock Ledger tab: the adjustment is listed with the date, branch, type and change, and Current Stock on the Stock Overview tab has moved. StyleDesk does not stop a decrease from taking stock below zero, so check the current figure before you take a large amount off.
Who can adjust stock
Owners and managers can make adjustments. Receptionists can see stock levels but not change them, so breakages they spot should be passed to a manager to record (see roles and logins).
