Moving stock between branches

How to send products from one branch to another with a transfer: create it, add the products, submit it and complete it so both branches' stock updates.

If you run more than one branch, one is often short of something the other has plenty of. A transfer moves the stock in StyleDesk at the same time as it moves in the car, so neither branch's figures go wrong.

How a transfer moves

  • Draft: you are choosing the products. Nothing has moved yet.
  • Submitted: the list is final and the goods are on their way.
  • Completed: the stock has been taken off the sending branch and added to the receiving one.

Create the transfer

  1. Open Inventory in the sidebar and press New Transfer at the top of the dashboard.
  2. Choose the From Branch (where the stock is now) and the To Branch (where it is going). They must be different. If a branch is selected at the top of the page, you can only send from that branch; to send from another, switch to it first (see switching branch).
  3. Add any Notes, such as who is carrying it, and press Create Draft Transfer. The transfer's page opens with its number (for example TRN-00001).

Add the products

  1. On the Line Items tab, pick a Product. Only products the sending branch actually has in stock are listed.
  2. Enter the Transfer Qty and press Add Item. You cannot send more than the sending branch has.
  3. Repeat for each product. Adding the same product again adds to its quantity rather than making a second line.

Check the list before the next step: items cannot be removed from a transfer once added.

Submit and complete

  1. Press Submit Transfer when the list is right. A transfer needs at least one item. After this, no more products can be added.
  2. When the goods have arrived at the other branch, open the transfer and press Complete & Transfer Stock.

On completion StyleDesk checks the sending branch still has enough of every item. If anything has been sold or used in the meantime and there is not enough left, the transfer is refused and nothing moves. Otherwise each product is taken off the sending branch (Transfer Out) and added to the receiving branch (Transfer In). Both entries appear on the transfer's Ledger Preview tab and in each product's Stock Ledger.

Finding transfers

On any transfer's page, the Transfers link at the top opens the Inventory Transfers list, with the Transfer Number, From Branch, To Branch, Status, Total Items and Created Date. Search by transfer number or filter by status. The Overview tab of a transfer shows its notes and who created it.

Who can transfer stock

Owners and managers can create, submit and complete transfers, from the branches they work in. Receptionists can view them.

Tip. Complete the transfer when the goods arrive, not when they leave. Until then the stock still counts at the sending branch, which is where it physically is.
