Keeping a list of your suppliers
How to add, edit and archive suppliers, and read a supplier's page: contact details, purchase orders and total spend.
A supplier is anyone you buy stock from: a distributor, a wholesaler or a brand's own rep. Every purchase order is raised against a supplier, so add your regular ones before you order, and their contact details are then a click away when you need to chase a delivery.
The supplier list
Open Inventory → Suppliers in the sidebar. The list shows Name, Contact Name, Email, Phone, Total POs (how many purchase orders you have raised with them) and Status. The search box looks through the name, contact name and email.
Add a supplier
- Press Add Supplier.
- Type the Supplier Name. This is the only required field, and it must be unique: StyleDesk refuses a second supplier with the same name, whatever the capital letters.
- Add the Contact Name, Phone, Email and Address if you have them.
- Press Save Supplier.
To add many at once, press Import from Excel on the same page. The suppliers template has the columns Supplier Name, Contact Person, Phone, Email and Address. Uploading a supplier that already exists updates its contact details instead of adding it twice. See importing inventory from Excel.
Edit a supplier
Open the row's menu and choose Edit Supplier, or press Edit Supplier on the supplier's page. Change what you need and press Save Supplier. Renaming a supplier changes the name on its existing purchase orders too.
The supplier page
Click a supplier's name (or View Details in the menu). The page has two tabs:
- Overview: Supplier Information (name, contact person, email, phone, address) and Metrics: Total Purchase Orders, Total Spend and Last Purchase Date.
- Purchase Orders: every purchase order raised with this supplier, with its PO Number, Date, Status and Total Amount.
Total Spend adds up the totals of all the supplier's purchase orders, including drafts and orders not yet received, so treat it as "ordered" rather than "paid".
Archive a supplier
When you stop buying from someone, choose Archive from the row's menu or the supplier's page and confirm. The supplier leaves the list and is no longer offered when you create a purchase order. Purchase orders already raised with them are kept as they are.
Who can do this
Owners and managers can add, edit and archive suppliers. Receptionists can see the list and the supplier pages.
